What is a CRM integration, and when do you need one?

If anyone on your team copies leads from one tool into another, you need one. Here’s what a CRM integration does and how to tell if yours is working.

What is a CRM integration? It’s a connection that moves information into your CRM automatically: form fills, chats, calls, payments and sign-ups land in HubSpot, Salesforce or Pipedrive with the right fields, owner and source. You need one the moment someone on your team is copying leads by hand.

Signs you need one

  1. 01Leads sit in an inbox or a spreadsheet before anyone follows up.
  2. 02You can’t say which channel your best customers came from.
  3. 03Sales and marketing report different numbers for the same month.
  4. 04The same person appears three times in the CRM with slightly different details.

What a good integration does

  1. 01Maps every field to the right place, and keeps where the lead came from.
  2. 02Matches existing contacts instead of creating duplicates.
  3. 03Routes each lead to the right owner and notifies them straight away.
  4. 04Logs failures and alerts someone, so a broken connection doesn’t silently lose leads.

We do this on our own site. When someone tells Revee, our site assistant, about a project, the details are saved, good leads are emailed to the team straight away, and the conversation stays in one inbox with where the visitor came from. Nobody copies anything.

Zapier or custom code?

Simple flows are fine in Zapier or Make. Anything high-volume, involving payments or personal data, or with complex rules is safer as a small custom service with logging and alerts. Most setups take one to three weeks. That’s our integrations and data work.
